How Procend Group collects, uses and protects your personal information.

Procend Group respects your privacy and is committed to handling your personal information responsibly and transparently.

This Privacy Notice explains what information we collect, why we collect it, how we use it and the rights you have in relation to your personal information.

1. Who we are

Procend Group provides business improvement, implementation, transformation, training, systems and consultancy services.

For the purposes of UK data protection law, Procend Group is responsible for the personal information described in this Privacy Notice.

2. Information we collect

The personal information we collect depends on how you interact with us.

If you contact us through our website, we may collect:

  • your name;
  • work email address;
  • telephone number, if provided;
  • company name;
  • job title, if provided;
  • the service or subject you would like to discuss;
  • information about the support you are looking for;
  • your message or details about your enquiry;
  • preferred timing and contact method; and
  • the date and time of your enquiry.

We also record that you acknowledged this Privacy Notice when submitting an enquiry.

Limited technical information may also be processed for website security, spam prevention and rate limiting. This includes a one-way scrambled version of an internet address associated with a submitted enquiry. We do not store the full internet address with the enquiry.

If you communicate with us by email, telephone, video call or another method, we may also process the information you provide during those communications.

3. How we use your information

We may use your personal information to:

  • respond to enquiries and requests;
  • understand what support or services you may need;
  • arrange and manage introductory conversations;
  • prepare proposals, quotations or potential engagements;
  • provide and manage services where you become a client;
  • communicate with you about an existing or potential business relationship;
  • maintain appropriate business and communication records;
  • protect our website and Contact form from spam, misuse and security threats;
  • understand general website usage and improve our website and services; and
  • meet legal, regulatory, accounting or other business obligations where applicable.

We do not sell your personal information.

We do not use the Contact form privacy acknowledgement as consent to send you marketing communications.

4. Our lawful bases

UK data protection law requires us to have a lawful basis for processing personal information.

Depending on why we are using your information, we may rely on:

Steps before entering into a contract – where you ask us to take steps before potentially entering into an agreement with you, such as discussing your requirements or preparing a proposal or quotation.

Legitimate interests – where it is necessary for the legitimate operation and development of Procend Group and those interests are not overridden by your rights and interests. This may include responding to appropriate business enquiries, maintaining business relationships and records, improving our services, and protecting our website and systems against misuse.

Legal obligations – where we need to process or retain information to comply with a legal or regulatory requirement.

The lawful basis used will depend on the particular purpose and circumstances.

5. Website enquiries and communications

When you submit an enquiry through our website, the information you provide is securely saved using Lovable Cloud.

The website also:

  • sends an email notification containing your enquiry to Procend Group's Microsoft 365 email account; and
  • sends an automatic confirmation email to the email address you provide.

Contact-form information stored in Lovable Cloud is hosted in Ireland.

We use technical measures on the Contact form to reduce spam and misuse. These include field validation, a hidden spam field, submission timing checks and rate limiting.

6. Website analytics

We use Lovable's built-in visitor analytics to help us understand general use of the Procend Group website.

This may provide information such as:

  • visits and pages viewed;
  • referring sources;
  • device type;
  • country or general location information; and
  • time spent on the website.

We use this information to understand website performance and improve the experience and information we provide.

Our website does not currently use advertising or marketing tracking cookies.

7. Cookies and similar technologies

Our website uses limited technologies that are necessary for security, website delivery and basic functionality.

These include technologies used by our hosting providers to help protect the website from automated abuse and ensure visitors receive the current published version of the site.

The website also uses temporary browser session storage to remember a visitor's scroll position when navigating between pages. This information is cleared when the browser tab is closed.

We do not currently use cookies for advertising or behavioural marketing.

If the technologies used by the website change in the future, we will review this Privacy Notice and our cookie arrangements where necessary.

8. Who we share information with

We only share personal information where necessary for the operation of our website, communications, services or legal obligations.

Service providers involved in operating the website and handling enquiries include:

Lovable – website hosting, cloud database, website analytics and transactional email services.

Cloudflare – website delivery and security infrastructure.

Microsoft 365 – business email and communications.

We may also use professional advisers or other service providers where reasonably necessary to operate the business or meet our legal obligations.

Where third parties process personal information on our behalf, we expect appropriate data protection and security arrangements to be in place.

We do not sell personal information to third parties.

9. International processing

Contact-form enquiries stored in Lovable Cloud are hosted in Ireland.

Some of the technology and service providers we use may process information in other countries as part of their infrastructure or supplier arrangements.

Where personal information is transferred internationally, we take reasonable steps to ensure that appropriate protections required by UK data protection law are in place. This may include processing in countries recognised by the UK as providing an adequate level of protection or the use of appropriate contractual safeguards.

10. How long we keep your information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected and to meet applicable business or legal requirements.

Website enquiries stored in Lovable Cloud are automatically deleted after 24 months. The associated scrambled technical information stored with the enquiry is deleted at the same time.

Copies of correspondence held within our business email system may be retained for longer where reasonably necessary to manage an enquiry, maintain an ongoing business or client relationship, keep appropriate business records, resolve a dispute or comply with legal, regulatory, accounting or tax requirements.

If an enquiry develops into a client relationship, relevant information may be retained for the duration of that relationship and afterwards where necessary for legitimate business or legal purposes.

11. Your data protection rights

Depending on the circumstances, UK data protection law gives you rights over your personal information. These may include the right to:

  • ask for access to the personal information we hold about you;
  • ask us to correct inaccurate or incomplete information;
  • ask us to delete your personal information in certain circumstances;
  • ask us to restrict how we use your information in certain circumstances;
  • object to certain uses of your personal information; and
  • ask for certain information to be provided to you or another organisation in a portable format where applicable.

These rights do not apply in every circumstance, and there may be situations where the law allows or requires us to continue processing or retaining information.
